INFORMATION FOR SPEAKERS – HOW TO MAKE A PRESENTATION

Please save your presentation in the version “PowerPoint 97-2003 and 95(*.ppt)” or “Power Point 2007 (.pptx)” or Power Point slideshow (.pps). This is necessary for us to guarantee a successful running of your presentation on our computers.

Pictures / Videos
JPG is the most frequently used format for inserting pictures in a presentation.

GIF, TIF or BMP formats are also acceptable.

To make sure the pictures in your presentation are shown clearly you need a good resolution, up to 250 dpi will be fine (1024x768 or 1280x1024 pixels). Higher resolution only makes for a larger file and does not improve the visible quality of the picture on the screen as this is limited by the physical resolution of the projector. Please make sure all the pictures in your presentation are comprised to the recommended resolution.

If your presentation includes a video please make sure you come early to the Slide Room or directly to the technician operating the projector – we will test your video format and its compatibility with our software. Videos in the MPEG-1 and AVI formats should be running without any problems.

Character sets (fonts)
Please note that only fonts that are included in the basic installation of MS-Windows (Czech version of Windows) will be available. The use of other fonts may cause incorrect showing of your presentation.

Recommended fonts: Arial, Times New Roman, Tahoma

If you insist on using special fonts you must save these along with the presentation. Please follow these instructions:
- Click on “tools” then “options” and “save” ticking the field “Insert True Type fonts”
- Save your presentation.

Transferring and saving a presentation
Please bring your files on one of the listed media.
- CD-ROM (CD-R/RW), DVD-ROM (DVD±R/RW)
- USB flash disc

Save all the files related to your presentation in one folder. (PowerPoint, movie/video files, etc.).

If you are holding more presentations at the congress please save them in different files and title them clearly to prevent misunderstandings during the saving in our system.

Always make a backup copy of your presentation on a second medium or portable disc.

Where to have your presentation saved
Please come to the Slide Room (first floor of the E Hall) or directly approach the technician at the conference auditorium at least 1.5 hour prior to the beginning of your section. Our technicians will save your presentation in our system. It is absolutely necessary to bring the presentation well in advance in order to have enough time for trial running the presentation and checking if it shows correctly. Please bear in mind that if a presentation is run without such trial there is no time to fix any problems that often occur and that we cannot guarantee a trouble-free running of the presentation under such circumstances.
